Below you will find information on the registration process and the fees for ICSE 2025 and its satellite activities (workshops, symposia, co-located conferences, etc.)
Note that registration staff and ICSE2025 volunteers will be on vacation from late in the day Dec 20 to early morning January 6th. The registration system will be open, and payment can be received by Visa and Mastercard, but no letters of invitation (for visa application support) or other special requests will be processed in this period.
Before registering: To speed the process, we suggest you have ready:
- Your IEEE or ACM membership number
- The list of co-located conferences, workshops, symposia, tutorials and other events you wish to register for (see the program overview and take note of the dates)
- Your profile on this researchr website (you may want to log in or create an account first if you do not have such a profile)
- The paper ids of any papers in any track that have been accepted so far and for which you are an author; the format for these might look like icse2025-p### or icse20-symp-###
Modifying registration: After registering, you will be able to modify your registration (e.g. choice of sessions, new paper IDs) until at least mid-February. To modify your registration you must use the link sent to you in your registration confirmation email, so make sure you save it.. If you registered between August and October using special early registration, check your email around Nov 15 for your registration update link that will allow you to pay the rest of your fees and register for additional activities.
Cancelling registration: If you need to do this, please see the details at the end of this page.
Overlapping events: When registering for events (co-located conferences, workshops, tutorials, main conference, etc.) you may wish to attend overlapping events for various reasons (e.g. a paper in overlapping events). However, you will have to register only for the event you intend to attend most, otherwise you would end up paying double. If you want to attend partially-overlapping events (e.g. an event held Sunday+Monday and an event held Monday+Tuesday) you can select both days of one event, and just a single day of the other event.
Travel and Hotel codes: After you register you will be given discount links or codes for hotels (more information here), as well as for airlines and Via rail (more information here).
Payment methods: Payment for registration can be by either Visa or Mastercard. The system cannot accept other credit card brands. If you have no way to pay with these cards, there will be an option (for a fee) to pay in some other way, such as through bank transfer. The fee charged covers the large cost to the conference of handling such payments.
Discount codes: Some people (e.g. keynote speakers, student volunteers) will be given personal discount codes. You may need to specify your code in more than one place in the form.
Registration for ICSE2025 and its co-located events is managed by the University of Ottawa, Faculty of Medicine, Office of Continuing Professional Development, through a subdomain of eventsair.com . Your registration confirmation email will come from the domain eventsairmail.com . So you can check legitimacy: On the registration site and in your confirmation of registration email you will see logos for ICSE2025, uOttawa, the IEEE Computer Society and ACM Sigsoft on the same blue background as the main ICSE2025 web page heading. Certain followup emails may also come from domain uottawa.ca .
Registration Fees for the main ICSE conference, Co-Located Conferences, Workshops and other Items
The following are the registration fees. The ‘Early’ Fees will apply until February 18th 2025. The late registration fees will be determined a little later and will be 14% to 25% higher than the early fees. Depending on total attendance, is also possible that we may have to limit attendance at the Thursday main-conference banquet, so for now only early registration is guaranteed to include a banquet ticket.
Member rates: These will require you to supply a valid IEEE or ACM membership number, otherwise you will be charged the non-member rate.
Student rates: There must be at least one full registration (non-student registration, either member or non-member) per paper, so student rates are only available for students who are attending sessions where they are NOT the sole author representing a paper. Students will be asked to show their student card at the registration desk. If you are a student author and no other author of the paper is attending that is paying the full rate, then you have to pay the full rate. You would still be able to obtain the student rate on other parts of the conference where you are not a sole paper author. For example, if a you are a student are presenting a paper at a workshop, but not at the main conference, then they would pay the full rate for the workshop and the student rate for the main conference.
For reference, the CAD $1180 basic member fee for the main conference works out (as of August-2024) to be about 785 EUR (this had decreased from over 800 from earlier in 2024) or 865 USD.

Two-day co-located conference fees in CAD (Canadian Dollars)
These apply for events held either Sunday Apr 27th + Monday Apr 28th, or Monday April 28th + Tuesday April 29th. These include a social event with a meal on the first day.

Single-day fees, any day of the conference (Sun April 27 to Sat May 3)
These apply any day, but do NOT include the banquet, receptions, or any social events associated with co-located conferences. These can be used attending a full-day workshop, the Doctoral Symposium, the New Faculty Symposium, one day of a co-located conference if you are attending an overlapping conference on two other days, or one day of the main conference if you do not have a paper in the main conference. These do include lunch. If any half-day events are later approved, the costs will be 75% of this, but will include lunch.

Cancellation and refund policy
No refund will be provided if a letter of invitation has been issued to enable you to obtain a visa, unless you include a letter from Canadian Authorities clearly stating that your application for a visa to attend ICSE2025 has been denied.
No refund will be provided for an activity in which you are an author of a paper, unless you provide the name of another co-author who will be presenting, and that author has already registered for that activity.
You may request a refund until April 1, 2025 if neither of above two conditions apply.
Prior to February 19th, 2025: The maximum refund will be the amount you paid, minus a $100 administrative fee.
Between February 19th and April 1st, 2025 inclusive: The maximum refund will be 50% of the amount paid.
After April 1st, 2025: No refund will be provided.

If you have completed the registration form but have not yet paid (because you were not able to use Mastercard or Visa and are making alternative arrangements such as using wire transfer), you are NOT yet considered to have registered for the conference. We will normally delete your incomplete registration if payment is not received after 30 days, or as of April 1, 2025, whichever comes first.
