Registration for the PROFES 2025 conference should be completed via the online registration system: https://it.surveymonkey.com/r/F9FRWDM

Registration is required for all persons attending the conference.

Once your registration request has been processed, you will receive an email with payment instructions at the address you provided. Please note that it may take some time to process your registration request. Payment can be made by credit card or bank transfer.

Important: If you complete your registration by the early-bird deadline (Sep 23, 2025 AoE), you will pay the early-bird fee, even if the payment instructions are sent after the early-bird deadline.

Authors of accepted papers are required to register by Sep 23, 2025.

Each full or short paper must have a unique registered presenter. This policy also applies to workshops and the Doctoral Symposium.

The registration to “Main Conference and Workshops/Tutorial/Doctoral Symposium” includes:

  • Access to all sessions - from Mon 1 to Wed 3 December
  • Tea/coffee breaks and lunches - from Mon 1 to Wed 3 December
  • Salerno Guided Tour - December 1st
  • Reception - December 1st
  • Dinner - December 2nd

The registration to “Only Workshops/Tutorial/Doctoral Symposium” includes:

  • Access to all sessions of Mon 1 December
  • Tea/coffee breaks and lunches of Mon 1 December
  • Salerno Guided Tour - December 1st
  • Reception - December 1st

Please note that the fee does NOT include travel insurance or accommodation.

Cancellation policy

Conference registration is binding. All requests for cancellation or refund must be submitted in writing to the Conference Secretariat. A processing fee of EUR 50 will be applied to all approved refunds. Each request will be reviewed on a case-by-case basis, and the final decision rests with the Organizing Committee.

For authors of accepted papers:

  • No refunds will be issued after September 23, 2025.
  • For cancellations received on or before September 23, 2025, 40% of the registration fee will be refunded, provided a written request is submitted together with supporting documentation demonstrating circumstances beyond the participant’s control.

For non-author participants:

  • No refunds will be issued after November 1, 2025.
  • For cancellations received on or before November 1, 2025, 40% of the registration fee will be refunded, provided a written request is submitted together with supporting documentation demonstrating circumstances beyond the participant’s control.

All cancellations and requests for changes to participation must be directed to the Conference Secretariat via the contact form available at: https://conf.researchr.org/contact/profes-2025.

Important notice: If a visa support letter has already been issued, refunds will only be considered—in accordance with the deadlines above—in the event of a documented visa rejection.

The PROFES 2025 Organizing Committee cannot be held responsible for any financial losses resulting from the inability to obtain the necessary travel documents.

VISA support letter

To request a VISA support letter, you must first complete your conference registration, including payment of the registration fee. During the registration process, you will be asked whether you require a visa support letter: be sure to indicate that you require a VISA support letter. Once your registration is confirmed and the fee has been paid, the organizing team will contact you to collect the necessary information to issue the VISA support letter.
