Call for Volunteers

The 19th International Symposium on Empirical Software Engineering and Measurement (ESEM 2025) invites graduate students to apply as Student Volunteers. Student volunteers play a vital role in ensuring the success of the conference events. Serving as a student volunteer at ESEM 2025 presents a fantastic opportunity to engage with academic and industrial researchers and practitioners in the field of empirical software engineering. Volunteering at ESEM 2025 is open to graduate students from around the world. The conference will be held from September 29 to October 3, 2025, in Honolulu, Hawaii, United States.

Benefits

  • Free registration to ESEM 2025, with the following exception:

    • In case the student volunteer is the sole attendee representing an accepted paper at any ESEM 2025 track, a full registration to ESEM will be required.
  • A great opportunity to meet and talk about research or your interests with academic and industrial researchers as well as practitioners.

  • Build connections with future colleagues.

Responsibilities

  • This is an in-person position; student volunteers must commit to being present in Hawaii for the duration of the conference.

  • On Wednesday, October 1: Preparing for the conference (organizing conference bags, preparing badges, etc.).

  • During the conference, responsibilities include:

    • Registration duties (assisting attendees with registration, etc.).

    • Technical support for speakers and attendees.

    • Providing directions to various conference locations.

    • Assisting the conference management and secretariat staff.

    • Contributing to the overall smooth operation of the conference and social events.

Traveling and Accommodation

  • Student volunteers are responsible for their own travel arrangements and accommodations. They are expected to arrive on the morning of Wednesday, October 1, to assist with preparations.

  • Student volunteers must obtain the necessary visas to travel to the United States.

Qualifications

  • Must be enrolled in a software engineering (or related) graduate program at the time of the conference. 

  • Proficiency in English is required. Knowledge of a second language is advantageous, though not mandatory. 

  • Previous volunteer experience is not necessary, but we seek enthusiastic and dependable volunteers. 

  • We encourage applications from graduate students of diverse nationalities and genders

Application Procedure 

Applying to become a student volunteer involves two steps. 

  1. Please fill out and submit the following form, attaching your CV: https://forms.gle/PFEAWD6JGgZnuaKg9

  2. Your academic supervisor/advisor must send a recommendation letter on your behalf. This letter should be emailed by your supervisor/advisor to the Student Volunteer chair (peruma@hawaii.edu) with the subject line “ESEM 2025 SV Recommendation for ” (replace with your name). The letter should emphasize your organizational skills, proficiency in English, and any other qualities that would help us in selecting you as a student volunteer. Make sure that the name on the recommendation letter matches the name you provided in your application form.

Important Dates

The deadline for receiving applications and recommendation letters is July 13, 2025.
