ICSE 2025 is designed to be an exclusively in-person conference. This gives people the opportunity to meet each other socially, grow their networks, and generally learn better than is possible with virtual attendance.

People submitting to a conference have the responsibility to do so with the understanding that they should be able to attend in person, and will do their best to arrange in-person presentation.

However we do recognize that there are extenuating circumstances. In 2025 there a number of special issues have arisen.

Therefore we are enabling limited virtual attendance in the following situations:

  • You are unable to get a visa to enter Canada, or your application has not been approved in time
  • You are from a disadvantaged country and have been unable to obtain travel support
  • Your country has rules in place that make it risky for non-citizens to exit that country in case they are not allowed back (this has become a particular issue in 2025)
  • Your institution has banned travel
  • You have medical reasons (including pregnancy)
  • You have other compassionate reasons, including being a caregiver of someone, and are unable to find alternative care for that person.

Virtual attendees still have to pay the registration fees, as all conference expenses still have to be paid, including publication costs and costs of providing the virtual infrastructure and staffing it.

How do I request virtual attendance

If you fall under one of the above compassionate reasons for attending virtually, we have created a Google Form you can fill out. We are not making that public since we want you to contact your track chair or session chair; they will give you the link. We have asked them to send the request form link to their attendees.

We will not deny virtual attendance to registrants who fill out the form requesting it. We will follow the honour system: We trust your request is legitimate, Please remember that virtual attendance by you will degrade the experience of those who have spent a lot of time and money to attend in person, so please request virtual attendance only if it is impossible to attend in person.

How will virtual attendance work?

Which rooms will have virtual sessions?

All rooms will set up with Zoom sessions throughout the week.

In smaller rooms can attend sessions, but will not be guaranteed the ability to view all the other speakers (you will be able to hear them, and it may be possible to view their screen, but is not guaranteed, especially if people use their own laptop to present).

However in the following rooms, we have invested in permanent broadcast capability, with a camera and camera operators. So if you are attending virtually it is suggested that you tune in to the sessions in these rooms to get the value of your registration. An asterisk indicates main conference themes in these rooms.
