Please find below the details related to the EASE 2025 registration options and registration rules.

Types of Registration

You can select any of the following ways to register:

  • Full Conference: Includes access to all conference tracks and workshop/tutorials/tech-briefing sessions (from June 17th to June 20th), lunches and coffee breaks on all days, reception, one banquet ticket and proceedings.

  • Conference Only: Includes access to all conference tracks from June 18th to June 20th, lunches and coffee breaks, reception, one banquet ticket and proceedings.

  • Workshop and Tutorials: Includes participation in one of the workshops or tutorials before the main conference (June 17, 2025). Each participant would have access to the lunch and coffee breaks, and the tutorial materials or the workshop proceedings.

  • Students Registration: Standard student registration does not include the tickets to reception or banquet. However, students can either purchase the tickets to reception and banquet (depending upon availability) or they can register for Full conference (all days) for students. If a student has a paper in any track to be presented and included in the proceedings, the student is expected to register using the standard rate of the conference or workshop (whichever is applicable).

  • Local Academics: A special registration rate of 100 EUR is available exclusively for academics currently affiliated with a university in Türkiye. This rate includes access to all conference tracks from June 17th to June 20th, as well as lunches and coffee breaks during these days. Please note that this registration does not include the gala dinner or reception tickets. Registration under this category is only available via wire transfer.

Registration Rules

  • EASE 2025 will be an in-person conference

  • At least one author per accepted paper has to register using the standard registration rate. An author of multiple accepted papers in the main conference can receive 50% discount for the second paper during the registration. That means full fee for the first paper and 50% less fee for the second paper. No author will be allowed to registered more than 2 papers under delegate’s registration.

  • For papers accepted in any of the workshops or tutorials/tech briefings, “Workshops and Tutorial” registration will suffice (if not attending the main conference, no need to register for the conference to attend a workshop/tutorial only).

  • Students authors may register at student rates if another co-author has registered for a paper accepted in the conference/workshop using standard registration rate. If a student is the sole author registering/attending the conference or workshop for a given paper, the student author must register using the standard registration rate (unless a student in attending the doctoral symposium only).

Cancellation Policy

  • In the case of cancellation by May 30, 2025, only 40% of the registration fee will be refunded after receiving a written request supported by evidence of the circumstances out of the control of a delegate.

  • After May 30, 2025 no refunded would be provided.

  • No refund will be provided for a registration attached to an accepted paper in the conference and/or workshop unless there is another co-author has registered for the papers.

  • If a visa support letter has been issues, there will be no refund unless there is an evidence of unsuccessful visa application. In that case 40% registration fee will be refunded.

Note that ONE Banquet ticket is provided with “full conference” or “conference only” registration. You may purchase “additional” Banquet tickets during registration (limited seats).
