Call for Student Volunteers

Would you like to be part of the ICSE 2024 organisation?

Student volunteers play a crucial role in ensuring the success of ICSE. They help with everything from registration to local support. Being a student volunteer is an excellent opportunity to meet, interact, and network with leading academic and industrial researchers and practitioners in the area of Software Engineering, as well as other students from all over the world who share your interest in Software Engineering and to reduce some of the costs of the conference.

Such interactions often help shape the research direction for many students.

We are looking for enthusiastic students to help make ICSE 2024 a unique experience for all attendees. This exclusive experience is available to undergraduate and graduate students from any country who have excellent communication skills in English, are technically skilled, and are ethical, reliable, punctual, organised and proactive.

Responsibilities

Approximately 20 hours of in-person work during the in-person conference week (i.e., from April 14 to April 20):

  • Registration duties (e.g., setting up, preparing conference bags, and helping attendees register).
  • Technical assistance to speakers and attendees.
  • Providing directions to various locations at the conference location.
  • Checking badges at various halls, including dining halls.
  • Other similar tasks.

Qualifications

  • Enrolled as a doctoral, master’s, or full-time undergraduate student during ICSE 2024.
  • Proficient in English and have good social and communication skills.
  • Availability from April 14 – April 20, 2024 (inclusive). You will be requested to specify in the application form if you are unavailable on any of the pre- and/or post-conference program days. Not all volunteers will be required during the full time, and we can consider this information during selection.

Application Procedure

  1. Complete the online application form (including a letter of reference) before January 28, 2024 at https://forms.office.com/e/CCHnweaXQY
  2. Provide a letter of reference from your academic supervisor or other faculty member at your institution to be submitted in the application form. The letter should cover your organisational skills, willingness to help, proficiency in English, and anything else to help us select you as a student volunteer.
  3. Notification of Selection will be sent around February 7, 2024.

Visas and Funding Options

  • Visa support letters: A visa support letter will be provided after submitting the Student Volunteer application.
  • We also suggest checking for travel support from national research funding agencies from your country, e.g., a limited number of travel stipends for US-based minorities and women may be provided through an NSF Travel Award Program.
  • If your university requires specific information not included in the Notification of Selection as a Student Volunteer to approve funding for travel, be sure to let the Student Volunteers Co-chairs know as soon as possible. Note to student volunteer applicants with an accepted paper at ICSE: Students selected as volunteers will be reimbursed for registration fees if they need to register before February 12th, 2024 (i.e. the early registration deadline). Still, the student volunteer track notification may arrive after the accepted papers’ registration deadline in several ICSE tracks. If you find yourself in this situation, reach out to us.
